When a district or campus purchases a subscription to one of the curriculum plans, the purchase is based on a specific number of student seats per plan per campus (e.g. Social Studies Program, 115 student seats, Washington Middle School).
Technically, the seats are allocated to the campus, not to a specific teacher. Every teacher on the campus that has access to the curriculum program can use the seats. Once a teacher chooses to license a class for the specific program, all the students in that class get a seat license. Note also that teacher accounts in Exploros are free and don't count against the seat licenses. Also, if a student is part of two licensed classes, the student will only take up one seat.
Since the seats are purchased at the campus level and used at the class level by individual teachers, there is a shared responsibility to allot the seats as needed and to manage the licensing and class status of your account.
How to license a class (and the students in the class)
When you create a class you can select a license from the list in the Class Details screen. All licenses available for your campus will show in the drop-down list (Social Studies (FL) in the example below).
If you didn't license a class as part of the creation process, you can add the license by editing the class. Choose the class from the side menu, then choose "Settings."
Licensing a class for a specific curriculum program (e.g. Social Studies, ELA, Digital Citizenship, WordlyWise, iSPIRE) does two things: First, it adds that curriculum to the library for the specific class and makes it possible to assign learning experiences. Second, it gives a seat license to every student in the class.
NOTE: If a licensed class has students added or removed, these students will take up or free up seat licenses accordingly.
NOTE: If a particular student is in more than one licensed class, that student will only use a single-seat license. In other words, it does not matter how many classes a particular student is in, that student username will only ever use one seat license for any given program.
How to "free up" seat licenses
Since licensing is done at the class level, there are two ways to free up student seats.
Unlicense a class for a particular program
Remove students from a licensed class
Unlicensing an entire class
If the class is inactive (e.g. from a prior year) you can simply archive the class and student seats allocated to the class will be unallocated, freeing up the seats. Please view this article for help on archiving a class.
If the class is active, but no longer using the program, you can navigate to class settings (see graphic above) and choose "None" under licenses. This will remove the license from the class, freeing up seats provided the students are not in some other licensed class for the program.
Removing particular students
To free up a particular student seat, you can remove the student from a licensed class. If you are not familiar with how to edit the class roster, please read this article. As long as the students removed are not part of any other licensed class, this process will free up the student licenses.
Your students are correctly licensed, but your campus is still over the limit
If you have correctly licensed your classes, but your campus is still over the limit, the issue may be with another teacher who has allocated extra licenses. You can direct them to review this article or speak with a campus or district administrator who can also edit licensing or purchase more seats.
